Coworking reservation system

We are piloting the use of a reservation system to manage shared workspace. Registered coworkers are now able to make and manage their own workspace reservations through the Tango application.

  • Coworkers can reserve a workstation for their daily use.
  • Some locations have lockers available for reservation, which permits access to the workspace and use of non-reservable spaces.
  • All of our locations have at least one meeting room available to book in two-hour limits for normal business use.

Coworkers must be registered in the pilot system prior to use; login is managed through Login.gov for added security measures. In order to request access during our pilot period, please complete this form. Registration is updated weekly on each Friday; if you have a more immediate need, please send us an email cowork.reserve@gsa.gov.

Please make a reservation to guarantee your spot in the coworking space each day. This helps your colleagues locate you easily and assists first responders in emergencies. We recommend booking your reservations ahead of time. Select locations also offer the reservation of day lockers, which grants access to the space and allows for use of the non-reservable or drop in work spaces.

You must check in to your reservations so we can properly allocate our resources and ensure your use of coworking is properly accounted for.

How to use Tango

Login

To get a federal coworking Tango account

Fill out the intake form to request login access. If you do not get an account by Friday at noon, please reach out to us.

Login.gov and account security

Login.gov is a secure multi-factor authentication sign-in service. Sign-in through this system provides a higher level of security and modernizes our authentication tools.

Help with login.gov

Visit login.gov to create an account if you do not already have one. Learn more about the authentication methods available. For help signing into your account visit the login.gov account troubleshooting page.

To access the Tango federal coworking platform from your desktop

Visit sharedspace.gsa.gov. This will redirect you to login.gov, where you will enter your credentials. Once you have logged in successfully through login.gov, you will automatically be redirected to the Tango platform. Please note that you will not be able to access Tango until you have been added as a registered user.

To access the Tango federal coworking platform from your mobile device

You can download the Tango app for Android and iOS devices. If you have been added as a registered user, you can sign in to the app by selecting ”Sharedspace” as the application hosting location and “SAML Login” as the authentication flow. Click Submit when done.

  • Enter the name of the Tango federal coworking platform instance: “Sharedspace” and select Log In.
  • Sign in to your account with your Login.gov credentials. If you don’t have a Login.gov account, select Create an account and follow the instructions provided on the screen.
  • Allow the Tango Reserve app to send you notifications and start using the app. You can now make, manage, and check in to your reservations from your phone.

Note: Please contact your agency’s mobile security department if you have any issues with accessing the Tango Reserve mobile application using your government-furnished mobile device. They may need to whitelist the Tango Reserve application since security software, such as Zscaler, can prevent you from using this mobile app. The Tango Reserve mobile app can also be used on personal mobile devices, however, we recommend you to check with your agency on a policy in place for using personal devices to make reservations.

Making and managing reservations

Making a reservation is important for the success of coworking.

If you do not make a reservation ahead of time, you may not have a place to work in the coworking space. The reservation also helps other people locate you easily, including first responders in case of emergencies. If your plans change, use Tango to cancel or modify it so it frees up capacity for others.

Getting started

Type the location you plan to cowork from and the type of reservation you need. Select Workspace, Collaboration space, or Equipment from the drop-down menu, and enter the day and time for which you need the reservation. Some locations offer day lockers, for these select Equipment from the drop-down menu. Using the Accessible Interface, select availability search to make a reservation.

Reserving day lockers for coworking access

Select locations offer the option to reserve day use lockers, which allows you to access the drop-in workstations at these locations. Search the space type Equipment and there is the option to reserve a locker. Drop-in workstation locations can be found in the floor plan view of the search query on the classic interface.

To copy a previous reservation

Go to Recent Reservations on the Tango homepage. Select the copy button, which allows you to duplicate this reservation for a new date and time.

Editing a reservation

Visit the Upcoming Reservations section on the homepage. Select the reservation name to edit the asset or date and time of the reservation. Select the Cancel shortcut button if you no longer need this reservation. Changes to the reservation start time cannot be made once it has already begun.

To search for a reservation, another user, or specific asset

There is a search bar across the top banner on the homepage. Type in what you are looking for. Please note that if a user has their profile set to private, you will not find them when you search for them.

Finding collaborative spaces

To access meeting space reservations, select the caret by the workspace type, and select collaborative space. Complete your search.

Getting collaborative space

Each coworking location has at least one reservable meeting space in Tango. All of our locations have non-reservable, also called drop-in, enclosed and open collaboration spaces that are open or enclosed. Large conference and training spaces are managed separately, and only available in a limited capacity.

To filter search results by attribute

When searching for a reservable space, apply the date or time you need the space, then select the Amenities & Attributes header, which will allow you to customize your results.

Tango policies

Checking in

We require you to check in for your reservation. You will receive a reminder email 15 minutes before your reservation starts. If you make a reservation within one hour of the start time, you will not get the check-in reminder. You have a grace period of 60 minutes to check in at a workstation and 15 minutes to check in at a conference room.

Making advance reservations

You can reserve workstations up to 30 days in advance and conference rooms up to 180 days in advance. You cannot make recurring reservations, but you can make multiple individual reservations.

Reservation time limits

You can reserve workstations for up to 12 hours, or 720 minutes, and conference rooms for up to 2 hours (120 minutes).

Changing reservations

If your plans change and you no longer need your reserved space, please cancel your reservation. This will make the workspace available for others. If you’re running late, please modify your existing reservation to reflect your revised arrival time.

Profile

Customizing your Tango profile

Click the caret next to your name on the navigation bar, and select My Profile from the drop-down menu. You can then add a profile picture and navigate the tool bar on the left to set your preferences, favorite assets, your team, and more.

Managing notifications

Go to My Profile and click Preferences on the left toolbar, which includes a section called Email Notification Preferences. After you have updated your preferences, be sure to select Save.

Additional terms and conditions

Traveler reimbursement is based on the location of the work activities and not the accommodations, unless lodging is not available at the work activity, then the agency may authorize the rate where lodging is obtained.

Unless otherwise specified, the per diem locality is defined as "all locations within, or entirely surrounded by, the corporate limits of the key city, including independent entities located within those boundaries."

Per diem localities with county definitions shall include"all locations within, or entirely surrounded by, the corporate limits of the key city as well as the boundaries of the listed counties, including independent entities located within the boundaries of the key city and the listed counties (unless otherwise listed separately)."

When a military installation or Government - related facility(whether or not specifically named) is located partially within more than one city or county boundary, the applicable per diem rate for the entire installation or facility is the higher of the rates which apply to the cities and / or counties, even though part(s) of such activities may be located outside the defined per diem locality.
